Are you an organised administrator looking for a flexible part-time role where you can make a genuine contribution to a purpose-driven organisation?

We are seeking a proactive and reliable Executive Support & Office Coordinator to provide day-to-day administrative support to the CEO while helping keep the office and key organisational activities running smoothly.

This is a fantastic opportunity for an experienced administrator, team assistant or PA who enjoys variety, flexibility and being part of a collaborative team.

About the Role Reporting to the CEO, you'll provide administrative support across diary management, meeting coordination, office administration and organisational activities. You'll play an important role in ensuring things run smoothly behind the scenes while working closely with a friendly and supportive team.

Key Responsibilities
  • Coordinate meetings, calendars and appointments for the CEO
  • Assist with preparing meeting agendas, papers and documentation
  • Support Board and committee meetings through scheduling and administration
  • Prepare correspondence, reports and general documentation
  • Coordinate travel and accommodation bookings when required
  • Assist with organisational events and member activities
  • Maintain office supplies and support day-to-day office administration
  • Help manage records, filing systems and shared documentation
  • Provide general administrative support across the organisation
About You

You are organised, adaptable and enjoy supporting others. You take pride in your work, communicate professionally and can manage competing priorities effectively.

Skills & Experience
  • Previous experience in an Administrative Assistant, Team Assistant, Personal Assistant or Office Coordinator role
  • Strong organisational and time management skills
  • Excellent written and verbal communication skills
  • Confident using Microsoft Office including Outlook, Word, Excel and Teams
  • High attention to detail and ability to manage confidential information
  • A proactive approach and willingness to assist where needed
  • Experience within a not-for-profit, membership or professional association environment will be viewed favourably
